Terms and Conditions

Bookings
  • All sessions are by appointment and are usually 50 minutes long (unless longer is required).
  • Initial sessions can be made by email or telephone.
  • Subsequent appointments can be made during your session or by telephone, email, or SMS.
  • Sessions can be booked on a on a regular weekly, fortnightly, or monthly basis.
  • I offer Single Session Therapy and Coaching.
  • All appointments will take place online via MS Team’s, Audio/Visual, Audio only, Instant Messaging, or Email.
  • If you require telephone sessions, please discuss this with me during your initial consultation.
Online Sessions
  • When using a third-party supplier (MS Team’s) for online sessions your personal and special category data will be treated in accordance with the Privacy and Data management Policy.
  • I will use all reasonable endeavours to start sessions at the time scheduled. If the start of the session is delayed by circumstances beyond my control, I will make every effort to inform you of this and to suggest an alternative session format e.g. What’s app call, Skype call, or telephone call.
  • Ahead of your online session, I request that you ensure that you are in private and safe space, with a good internet connection, where you cannot be interrupted or overheard.
  • I also encourage you to wear earphones/headphones that can block out background noise and reduce the possibility of environmental distractions.
Recording of sessions
  • To maintain my high-level professional registration/accreditation. I may be required to audio or video record some therapy sessions, so that they can be reviewed and discussed within my clinical supervision. It is important to note that there is no expectation or requirement for you to agree to recording, but please let me know if you would be happy for me to record a session for supervision purposes.
  • I am occasionally asked by clients if they can record our sessions, so they can listen back to the session. In most circumstances this is fine, however, please note that you must gain my written consent in advance to do this. As clients are not permitted to record sessions without written consent. This policy applies to all session formats.
  • Where sessions have been recorded or captured, clients are not permitted to share, broadcast, distribute, or make available online or hard-copies of session recordings without first gaining my explicit written consent.
Cancellations and Missed Sessions
  • If you need to cancel or reschedule a session, please provide at least 48 working hours’ notice (e.g. notifying me before 12 O’clock on Thursday if you wish to cancel a 1pm appointment on Monday).
  • Cancellations made with less than 24 hours’ notice will be charged the full session fee, because it is unlikely I will be able to offer that appointment slot to another client at short notice.
  • If you miss a session without prior notice, the full session fee will apply.
  • If you know you are going to be late for an appointment, please inform me as soon as possible. If you arrive later than 15 minutes after the agreed appointment time, I will try to provide the session but if we decide that we cannot proceed, the appointment will be treated as late cancelled appointment, and you may be charged.
Illness and Emergencies
  • I understand that sometimes unexpected situations may arise, if this is the case, please let me know as soon as you possibly can.
  • In cases of sudden illness and emergency, I will use my discretion regarding cancellation fees.
My Cancellations
  • If I need to cancel a session (which is very rare); I will give you as much notice as possible and offer an alternative time.
  • There is no charge for any sessions I cancel.

All payments for services must be made in accordance with my current price list either before or immediately upon completion of the provision of those services.

  • Clients are requested to use an identifiable reference on their payments, so that their payments can be easily identified.
  • Invoices will be raised either before or at the end of each session, as per prior agreement.
  • My prices are reviewed periodically, and I will provide one month’s notice of any cost increase to existing clients.
  • Please ensure that all session fees are paid in full as soon as possible, because following up on payments requires additional administration time, and may result in a suspension of support if the fees are not paid in full.
Changes to Distinct-Minds Policies
  • I review all policies as required and necessary, and I will inform you in a timely way of any policy updates. You are welcome to ask me questions about my policies, and can request a written copy of your contracts at any time.
Complaints and Standards
  • I am committed to providing helpful and compassionate services that meet the needs of my clients.
  • I welcome feedback from clients, and whilst I shall use all reasonable endeavours to provide a high standard of services and care. I nevertheless want to hear from you if you have any cause for complaint.
  • If you have any complaint about a service that I have offered, please raise this in the first instance with me informally, so that we can discuss this and work toward a suitable resolution.

Crisis Management and Emergencies

The type of psychological work offered by Distinct-Minds is not suited to managing emergencies or crisis. If you require urgent help between your appointments please contact your GP, NHS 111 service (option 2), or phone 999 or attend A&E for life threatening emergencies. You can also contact the Samaritans’ anonymous helpline on 116 123.

General
  • I reserve the right to withdraw therapeutic, coaching, and supervisory services based on my clinical judgement. If services are withdrawn all advance payments will be refunded for services not provided.
  • I will not undertake any procedure that conflicts with any law in force, any voluntary or mandatory code, or practice, rules, regulations, or codes of ethical practice.
  • If you need to contact me between appointments, please do so by email or telephone. I cannot provide therapeutic support outside of booked sessions.
  • My working hours are Monday – Friday 9:30 am – 6 pm and Tuesday and Thursday until 8 pm.
  • I aim to respond to all emails/voicemails within 48 working hours.
  • If you have any questions regarding these Business Terms, please do not hesitate to discuss this with me, either in a session or by contacting me via email or telephone.
Governing Law and Jurisdiction
  • These Business Terms are subject to the laws of England & Wales and the jurisdiction of the English Courts.
  • As a consumer, you will benefit from any mandatory provisions of the law in your country of residency.
